[Solved] Cannot enter Barred Owl

I am running V5.2.61.

Have recently tried to enter a sighting of a Barred Owl.  I can see the entry on the Sightings Entry Screen but after I close that window and go to the Reporting Window and list the days sightings, Barred Owl is not shown.  I have used the View Sightings Window to list all Barred Owl Sightings in my database and the sighting is not there.

Can you give me a clue on what is happening?

Hi Paul,

Thanks for posting.

Ok - so this is usually some sort of typo in the location, date, observer or something when entering the sighting. 

If you don't see your sighting when you ask for all sightings of Barred Owl, rerun the query by doing the following to make sure you don't have any extraneous filters specified. Follow the numbered steps exactly as shown.

If you still don't see your sighting, then I usually do the following. Be certain to click the Clear Data Filter before running each search so that you are ONLY searching on that parameter/filter. Make sure you have selected the correct Taxonomic list.

  1. Search for all Sightings on the Day-only (start/end date = that day) that I think I entered the sighting for.
  2. Then Search for all Sightings at the Location-only I think I entered the sighting for. Sort by Date Descending. So you get the latest sightings first.
  3. Another way, is to look at the Latest Sightings Grid on the right of the main BD window (Ctrl+B shows/hides this grid) and look down the list for your Barred Owl or a sighting out of place that should have been your Barred Owl sighting.

Another thing Paul, if all of the above fails to find your Barred Owl Sightings, then try entering another sighting for a Barred Owl under the same circumstances. Note at each step what happens. Capture screen shots if you can and post here in a reply.

For example, when you enter Barred Owl into the Name field, do you get prompted for Ambiguous Names? If so, what exactly do you choose? Can you now find that sighting using View Sightings? And so on. 

This should help us determine what happened to your missing sighting.

Thanks for the input.

This problem may be related to my installation of the 2021 Clements Taxonomic update. All the sightings of Barred Owls last year were before June 2021. This was the first time I tried entered a Barred Owl sighting since the update.

I looked at the Latest Sightings (Ctrl-B) and I could see all the Barred Owl test sightings I entered. But when I used the Reporting function to print the days sightings, all the sightings from that day are in the print out except Barred Owl.

If I double click on one of the Barred Owl sightings in the Latest Sightings list the Edit Sightings window is displayed (See Image 1). If I click on the down arrow to the left of the Name field, I get a drop down list of possible alternates for Barred Owl (See Image 2). If the second Barred Owl name is selected and I try to update the sighting, the "Select Thing from Ambiguous Entry" window (see Image 2.1) is displayed. I selected 2021 taxonomy Barred Owl and updated the sighting. Then when I go to the Reporting function and print the sightings for that day, Barred Owl is included in the listing.

After seeing Barred Owl in the daily listing I typed Barred Owl in the Name box got the list shown in Image 4. Selecting either Barred Owl option does not effect the listing of Barred Owl

I still have the Clements 2019 Taxonomic. I no longer use it and was considering removing it. Is this a good idea?

Hope the above is clear and it points to a solution. For now I have a work around.

As I suspected. This indicates that you entered your sightings for Barred Owl using the Clements 2019 Thing. And those sightings will not show up on a report using Clements 2021.

Simple fix here. Reconcile Clements 2021 against Clements 2019.

  1. Open the Reconcile window (in v5.2 that is Toolbar | Advanced | Reconcile Sightings)
  2. Enter Clements 2019 as the older taxonomic list and Clements 2021 as the newer tax list.
  3. Click the Analyze button; you should see, at least, your Barred Owl sightings that need to be moved to Clements 2021. 
  4. Select Barred Owl in the grid and click the "Reconcile Sightings for Selected Thing" button
  5. Reassign all to the Clements 2021 Barred Owl
  6. Repeat 1 thru 5 for any other sightings in the grid.
  7. NOTE: there is a video tutorial button on this window that shows you how to use this window if you don't remember.

Do NOT get rid of older taxonomic lists until you have reconciled them against Clements 2021 to the point where there are no more sightings to reconcile. Then you can remove the older taxonomic lists.

Think the problem is solved but I have a few more questions.

First the Reconcile Sightings fixed all the sightings. Then I found Clements 2019 tax list selected in data entry setup, I Corrected it. And there was a problem with my local checklist used for the entries. Thanks for the help. But I have a couple of questions.

If I select Rosetta Stone and enter Barred Owl and select Lookup. Then the Select Thing from Ambiguous Entry was displayed with both 2019 and 2921 tax list displayed. Should I select the latest tax list (2021 Clements tax list) and click on Remove Ambiguity? I have also seen the Select Thing from Ambiguous Entry displayed when entering some sightings, what is the appropriate response?

Many times when I type in Barred Owl when editing or in the reports function, I get the name shown twice like in Image 2 of my previous post. Is there a way to delete the repeated Barred Owl name?

I do not remember any issues, in the past, reconciling sightings with the new Clements Tax List and I have deleted past Tax Lists (2018 and earlier). What happens to Things if the only Tax Lists they were reconciled to are removed? Is there any way to check for this?

Yes. Remove Ambiguity, so you are no longer asked. And it will always assume your current selection. But in this case, Two Clements taxonomic lists pointing to different Things with the same preferred common name, this won't work. You will need to remove the older Clements taxonomic lists. You can do this in the Taxonomy Viewer (F8) in v5.2.x.

Remove the older Clements and other taxonomic lists (e.g. IOC, ABA, AOS, etc. if you have them) from your database.

Each occurrence in the dropdown list points to a different Thing in the database.

This is not an issue with reconciling against past lists. This issue came about because you had Clements 2019 selected for Sightings Entry of your Barred Owl, and so you entered sightings for that Thing and not the Thing in Clements 2021. Reconciling was just the quick and easy way to resolve this problem. You could have just as easily pulled those sightings up using Clements 2019 in View/Edit, edited the sightings and changed them to the Clements 2021 Barred Owl.

No problem removing older taxonomic lists if they have been reconciled against newer. There is a feature under Toolbar | Sightings | Orphaned Sightings... in v5.2 that will show you any Sightings attached to Things no longer defined by a taxonomic list in your database. And it allows you to move those sightings to a Thing defined by your latest version of any taxonomic list.

Let me know if I can assist further with any of this.
